For flex rate bookings the following applies: There is a corresponding flex rate for each rental day. A certain flex rate is valid for one week from Wednesday to Tuesday. Depending on which day of the week you start your hire, the corresponding flex rate is valid for all rental days until the next Tuesday. From Wednesday on, the corresponding flex rate of this week is valid for the following rental days until Tuesday, and so on. Rentals of more than 45 days are on request only (the hirer may be requested to accept charges for normal maintenance e.g. adding motor oil, oil changes or tyre replacement).
Pick-up and drop-off days are counted as one day in total, i.e. each rental night is used for the price calculation in the same way it is done by hotels. To find out which flex rate is currently valid for the vehicle you are interested in, just click for a price calculation for the desired rental duration. The flex rate is calculated by the rental company on the basis of supply and demand and is adjusted every Sunday.
Note: If you wish to make any changes to your booking, the booking will be re-calculated by using either the original flex rate or the flex rate that applies at the time of the booking change, depending on which rate is higher.
The following situations are classified as booking alterations:
- Change of date for vehicle pick-up or drop-off
- Change of location (depot) for vehicle pick-up or drop-off

Motorhome Bookers does not accept responsibility for any changes made by either the government or rental company to locally payable taxes or fees.
Public liability insurance
Public liability insurance is included in the daily rental rate. The rental company and their vehicles are insured for damages to third parties and/or their property.
The public liability insurance that covers the registered drivers is only up to the statutory limit as stipulated by law of the State you are in at the time. This upper amount insured is normally very low.
In order to increase the upper limit of your own third party insurance you should purchase the Supplemental Liability Insurance (SLI) option locally. Please refer to the section 'Additional Insurance Options' below for more information.
The maximum level of this insurance policy covers claims made by third parties against the rental company or the renter of the motorhome (in the case of third parties or their property). Passengers in the rental vehicle are not counted as third parties and the driver is therefore not insured for claims brought by them against him/herself.
Vehicle insurance
The Vehicle Incident Protection (VIP) insurance is included in the rental rate for all vehicles. This insurance reduces the renter's personal level of risk/excess (per incident) to US$ 1,000 if an accident happens or in the event of theft or vandalism, regardless of how or by whom any damage to the vehicle occurs - including if the renter is not at fault.
Exception: for damage that is not covered by the insurance see below under the heading 'Insurance Exclusions'. There are no additional insurance options available which waive or reduce this excess.
If damage occurs as a result of illegal or dangerous driving or if the renter drives outside the guidelines of the rental agreement no insurance will be provided. Please see below under 'Insurance Exclusions' for further details.
Additional Insurance Options
You have the option of purchasing an additional third party insurance premium locally, which is called the Supplemental Liability Insurance (SLI) for US$ 10 per day + local taxes. This is included in the total price if you select the 'All Inclusive Option without unlimited miles' when booking through Motorhome Bookers.
The SLI insurance option increases the third party insurance cover for those drivers registered in the rental agreement from the respective statutory limit provided by the Federal State up to a total of US$ 1 million.
If the renter decides to drive to Mexico he/she does so at his/her own risk and this is still only permitted with the prior approval of El Monte and if the renter purchases the Mexico Auto Liability Insurance option (MALI) for US$ 22 per day. Any costs for repairs, vehicle break-down or losses that occur there will not be reimbursed. There is no insurance (neither third party nor vehicle-related) if the vehicle is driven to Baja California/Mexico without the prior approval of El Monte and if this compulsory additional insurance has not been purchased. We can provide further information regarding this regulation if you wish.

You are required to provide a deposit of US$ 1,000 when you pick up the vehicle. This is payable by credit card (Visa, Mastercard or American Express) only. Debit cards, pre-paid credit cards, Cash or Traveler's Checks are not accepted. The amount is not deducted from your credit card at pick-up but it is on 'hold'. Upon return provided that the rental vehicle is returned clean inside, undamaged and on time this 'hold' is removed.
Neither the rental company nor Motorhome Bookers is liable for any cost differences that result from foreign exchange fluctuations or external fees between the time the cost is deducted and then reimbursed.
Please ensure you have enough credit available on your credit card.
The deposit applies for each incident where the rental vehicle or third party property is damaged. In such situations, a further bond will be required to cover the excess for any future incidents.
The excess (deposit) is always banked in the first instance where damage occurs, regardless of who is at fault and is owed to the rental company by the renter. The excess is not refunded by El Monte in situations involving a third party, but rather needs to be obtained from a third party by the renter him/herself. This can of course take quite some time. In such situations El Monte would provide the contact details of the third party if they have this but does not get involved in chasing the amount of the excess from the third party.
A deposit is deducted every time an accident occurs.
All insurance cover is null and void if the terms of the El Monte RV Rentals rental agreement are breached. Any damage that is caused when the renter acts outside of the rental company conditions is not covered by the insurance.
In the cases listed below the renter is fully liable for damage to the rental vehicle and third-party property, i.e. no insurance cover whatsoever is provided:
- damages to the interior of the vehicle
- personal injury, personal items and property
- carrying more passengers than having seat belts available
- deliberate or willful damages caused by the renter or his guests
- damages caused to the vehicle by abuse or misuse for illegal activities
- damages where the customer is charged by the local authorities for being careless
- damages caused by freezing, e.g. unit not winterized, or overheating of vehicle or systems
- driving the vehicle without a rental agreement, in breach or violation of the rental agreement
- damages and accidents caused under the influence of alcohol, drugs or any other controlled substance
- damages and injuries caused by neglecting proper operating procedures, e.g. incorrect fuel type or quality, ignoring oil or coolant levels, air pressure, etc., by overloading the vehicle and/or exceeding the legal towing capacity (towing limit is with proper equipment 1,500 lbs. – enclosed trailers, boats or vehicles are not allowed)
- damages where the customer is showing gross negligence or willfulness in failing to abide by the local laws and rules or disregarding common sense resulting in damage to the vehicle or third-party vehicle or property
- operation of the vehicle by anyone not meeting the age requirements as shown on the rate sheet and rental terms & conditions, or not listed on the rental agreement or not having a valid, original driver license
- damages and losses due to “off-road” usage, or caused during travel in or thru restricted areas, following incorrect GPS guidance, travelling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada), Death Valley (Jun-Sep), Northern Canada, Alaska Highway, Alaska.
The renter is liable for any fees, costs, fines or penalties that occur during his/her use of the rental vehicle unless any such costs that have been incurred are the fault of the rental company.
Where speeding tickets and parking fines and/or accidents come to light after the rental period, the rental company reserves the right to invoice the customer for these costs in arrears as well as a processing fee of US$ 25 - 250, depending on the administrative efforts involved.
The insurance options offered by the rental company do not include luggage insurance, nor do they include cover for any damage to the driver or passengers. It is therefore recommended to obtain travel insurance that covers accidents, sickness and loss of luggage prior to departure.
A valid UK, Australian, New Zealand or European Licence is acceptable for use in the USA as long as all details are also provided in English. If the licence does not provide information in English, an international driving licence is also required together with the national licence.
El Monte RV Rentals does not allow international tour operators such as ourselves to place bookings for customers residing in the USA. Please select one of our other USA RV rental partners if this is the case.
The minimum age for any registered drivers is 21 years.
Additional drivers can be registered at the time of vehicle collection at no extra cost. Anyone wishing to drive the motorhome must have their details entered in the rental agreement.
Before you can collect your vehicle you are required to present a valid national driving license, credit card, your passport as well as the Motorhome Bookers voucher at the depot.
Please note carefully the maximum number of passengers allowed per vehicle as per details provided when you click on the picture of your vehicle and view the vehicle specifications on our website.
The minimum hire period is 7 days.
It is 12 days if you book the All Inclusive Option with or without unlimited miles.

In the United States of America, the following regulations apply:
Children under the age of 1 year or weighing less than 20 pounds (approx. 9 kg) must be seated in a rear-facing baby capsule.
In the state of California children up to the age of 2 years must be seated in a rear-facing baby capsule in the living area.
Children from the age of 1 year (or from the age of 2 years in California) up to the age of 4 years or weighing less than 40 pounds (approx. 18 kg) are required to be seated and belted in a baby seat.
Children between the age of 4 and 8 years or weighing less than 60 pounds (approx. 27 kg) or who are less than 57 inches (approx. 145 cm) in height must use a child restraint (Booster Seat), which is attached with a seatbelt.
These regulations vary from state to state in the US. For details on the requirements of the states you will be traveling in, please refer to
Insurance Institute for Highway Safety
El Monte does not hire baby or booster seats. If you require these for your children, you will need to bring them with you or buy them locally.
It is not allowed to drive on unsealed roads, forest 'logging' roads, non-public roads, and other private terrain.
You are permitted to drive your motorhome throughout the USA with a few exceptions:
In July and August it is forbidden to drive in Death Valley. In June and September it is permitted but you do so at your own risk and there is no insurance cover. Therefore you are responsible for any towing or repair costs. Temperatures of up to 60 degrees Celsius are possible during this time.
You are not permitted to drive into Manhatten or New York City, but it is ok to drive in New York State. Certain highways, e.g. 'The Apache Trail' in Arizona, are also forbidden, as are underground or underwater tunnels.
If you drive to Northern Canada or Alaska you do so at your own risk and no reimbursements or insurance cover for towing, break-downs, repairs, etc. will be provided. Travel into Montreal, Ottawa and Quebec City is permitted, but you are not allowed to leave the vehicle unattended in either city.
If you plan to visit Mexico you are required to purchase the additional insurance option locally (MALI) of US$ 22 per day and obtain prior written approval from the rental company. Any costs resulting from repairs, break-downs or other incurred losses during your time in Mexico will not be reimbursed.
Travel during the summer months and/or in regions with extreme temperatures can result in damage to the air-conditioning system, the fridge and generator. El Monte will do all they can to ensure that these systems work without a hitch and will inform the clients at pick-up time about how to use and take care of these. However, the rental company cannot guarantee that these will work propertly in extreme conditions and will not cover any repair or replacement costs incurred if clients drive in such extreme conditions or to/in regions exposed to such conditions.
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are possible between all international depots in the USA with all vehicle categories if booked in advance and upon request. One-way fees are payable locally at the depot when you pick up the vehicle. See the section entitled 'Additional Costs' for more details.
Please note that the renter is liable for any damage to the vehicle resulting from frost, exposure to the cold, freezing of the tanks, damage to the warm water tanks and connections and no insurance cover is provided in such instances.
Every rental vehicle has to be 'winterised' between the months of November and April (this period can vary depending on current weather conditions).
If it is likely that you will experience temperature levels below zero, all connections such as water and chemical tanks should be emptied. If frost temperatures are expected the rental depot will have already winterised the vehicle by emptying the water to avoid freezing, etc prior to your departure. By winterised we mean that the water has to be emptied out of all water tanks. Following this it is not permitted to pour any more water into the fresh water tank and none of the water connections can be used any more. No water in the vehicle is available for use. The renter is then required to purchase his/her own bottled water (e.g. drinking water) and to cover these costs him/herself.
The basins, sink, showers and toilets can no longer be used. However, the toilet can be partially flushed as long as only the windscreen wiper anti-frost fluid is used. If there is a heavy frost the toilet should not even be flushed like this and you will need to use public toilets.
The renter bears all responsibility for ensuring the vehicle remains winterised and to return the vehicle in this state if the vehicle was collected in a warmer region such that the vehicle was not winterised or if this state is altered during the rental period. If the renter does not adhere to these guidelines - regardless of what weather conditions are present at drop-off time, a fee will be charged and the deposit will be withheld until the vehicle is again winterised by a specialist and returned to the rental company.
The renter will be held responsible for any costs resulting from the vehicle being damaged such as when the tanks, engine elements and pipes are damaged due to freezing, frost, etc. In such cases there is no insurance cover.
Please allow for the fact - when planning out your route, that camping grounds in certain areas may close during the winter. Some roads, especially in alpine areas may also be closed for driving or may be simply too dangerous to drive on.

NOTE:
- If your return flight departs in the morning we highly recommend that you book your motorhome such that you drop it off the day before you depart and spend a night in a hotel (or other accommodation). The rental company cannot provide an exact departure time for the transfer to the airport and there is no guarantee that the transfer will definitely depart on time.

From/to Ferndale a transfer is only possible from/to Vancouver airport and airport hotels and at certain times. A US$ 6 fee per person for the border crossing applies. For Details see the section 'Pick-up/Drop-off'.
- In all other cities (Chicago, Denver, Miami, Phoenix, Salt Lake City and San Diego) there is no transfer available. You are required to make your own way to the depot and at your own cost.
- The rental company needs to be notified of the hotel details at least 7 days before your pick-up date. Please find our Motorhome Bookers' Pre-Registration Service link to an online form where you can fill in these details in our section 'Inclusions'. Alternatively, you can send us an email with your details at any time.

El Monte offers a model year guarantee between 2019-2021 of their standard fleet. The exception to this rule is that El Monte provides no guarantee regarding vehicle age if you book one of their one-way specials.
Please note: the model year is not the same as the year the vehicle was built as the production of the chassis for a 2019 model year vehicle normally begins in 2018 for example.
El Monte will make every effort to ensure that the booked vehicle model is provided. However, it reserves the right, if due to unforeseen circumstances it has to provide either a vehicle of the same or a higher value without upgrade costs if the model booked is not available for any reason. Any additional costs such as higher petrol costs or ferry crossings costs, etc will not be reimbursed. This does not enable the renter to cancel his/her booking and there is no ground for reimbursement.
Even though all vehicles have similar equipment and designs small differences in vehicle design may exist. All measurements and size indications are approximate values and are based on the information provided to us by the rental company. We accept no responsibility for any mistakes or human error in the provision of these details. Such information on our website can be changed at any time without prior notice.
The rental company will charge a cleaning fee between US$ 50 and US$ 150 per hour if the vehicle is not returned clean. Cleaning fees can be as high as US$ 750 or more for Burning Man rentals. Toilets and waste water tanks must be completely emptied, otherwise a further fee will be charged. Fuel tanks must be full or an additional fee will be charged.
In the event of an accident, breakdown, technical difficulties (including problems with tyres) you are required to inform the rental company immediately on the toll-free service line provided. A nationwide network of contracted mechanics are available in such unfortunate cases. In an accident or fire regardless of the impact the police need to be contacted and the rental company should be informed within no more than 24 hours. Third party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses along with the vehicle registration details. Even in the case of minor damage the renter is required to provide a detailed written report and sketch to El Monte outlining the situation.
Note: If you do not inform El Monte immediately about the need for a repair and if the company is not given the opportunity to help you find you a solution no reimbursement or compensation will be provided.
Small repairs or necessary expenses for the upkeep of the vehicle up to the value US$ 75 can be carried out without prior communication with the rental company and will be reimbursed to you at drop-off time. This exceptional rule does NOT apply to de-winterizing or winterizing cost.
For repairs that will cost more than US$ 75 you are required to inform the rental company before repairs take place in order to obtain their approval to proceed (otherwise no repairs will be reimbursed). Repairs can only be reimbursed upon presentation of a receipt.
If the vehicle is out of action (due to a mechanical breakdown*, not an accident caused by others or the renter) for longer than 12 working hours, El Monte will reimburse the daily rental rate or expenses for hotel rooms up to US$ 25 per person per night and car rental up to US$ 50 per day per motorhome up to a maximum of US$ 1,500 per trip.
*Mechanical breakdown: El Monte does not provide compensation for damage or problems to the following items: radio, CD player, TV, DVD, Bluetooth, USB, air conditioner, batteries, fridge, heater, water heater, awning, slide-out, generator, cruise control and GPS.
Pets are allowed in the vehicles as long as this is specifically requested at the time of booking. The renter is responsible for any damage caused by or in connection with an animal and an additional fee to have the vehicle specially cleaned may be charged.
Smoking is not permitted in the vehicles. If this rule is not adhered to, El Monte will charge considerable fees at drop-off time.
All information provided has been put together by us (Motorhome Bookers Ltd) in as much detail as possible and on the basis of the information made available to us. This information has been taken from the rental company's conditions which they have provided to us. Any additional conditions are included in the rental agreement which is entered into by yourself and the rental company. You will receive the complete list of rental conditions with your rental agreement, which you sign when you collect your vehicle. We accept no responsibility for any differences that come to light between our list of conditions and those of the rental company.

You have the option of purchasing an additional third party insurance, which is called the Supplemental Liability Insurance (SLI) for US$ 15 per day + local taxes. This is included in the total price if you select the 'All Inclusive Plus Option' when booking through Motorhome Bookers. The SLI insurance option increases the third party insurance cover for those drivers registered in the rental agreement from the respective statutory limit provided by the Federal State up to a total of US$ 1 million.
You have the option of purchasing an additional insurance, which is called the Zero Deductible Option (ZDO). This is also included in the total price if you select the 'All Inclusive Plus Option' when booking through Motorhome Bookers.

You can pick up your motorhome from 1300 - 1600hrs (1300 - 1500hrs between October and March) at the booked depot.
You are required to spend your first night in the USA and after your international flight in a hotel before you pick up the motorhome. Customers who have booked the Priority AM Departure (PAD) can pick up their vehicle before 1000hrs. 'PAD' customers can check-in at the specially marked counter.
Please make absolutely sure to use the El Monte pre-registration link to fill out your details required at pick-up time and send these to El Monte online no less than 14 days prior to vehicle pick-up. The rental company can then prepare your rental agreement in advance of your arrival so that it is ready for you to sign as soon as you arrive to collect your vehicle.

Note: With all pick-ups in New York the compulsory New Jersey Security Fee of US$ 5/day (max. US$ 140) is payable locally.
Note: With all pick-ups in Denver the compulsory Colorado Road Safety Fee of US$ 2/day is payable locally.
This is possible between 0800 and 1100hrs at the booked depot. From October to March you can only drop-off your vehicle between 0900 and 1100hrs.
Suggestion: if your return flight is at midday or earlier we recommend that you drop off your motorhome at the depot on the day before your flight and spend the night in a hotel.
If the vehicle is not returned at the agreed time, El Monte will charge additional fees of US$ 50 per hour and the airport transfer (if included) will be cancelled. Additional fees will be charged if it is not returned to the agreed depot. There are no refunds provided if the vehicle is returned earlier than the date and time booked.
You are required to return the motorhome with a full tank of fuel, a clean interior and the toilet and waste water tanks emptied, otherwise further fees will be charged.
Note: For Seattle, there is a standard transfer from the depot to Vancouver airport that departs at approximately 1000hrs (for details please refer to 'Transfers'). You therefore need to be at the depot early to drop off your vehicle if you want to take advantage of this transfer.
El Monte does not offer any transfers.
El Monte offers a model year guarantee between 2019-2022 of their standard fleet.

The rental company cannot provide an exact departure time for the transfer to the airport and there is no guarantee that the transfer will definitely depart on time.
- For hires involving Seattle: the depot is located in Ferndale (nearer to Vancouver), which is some distance from central Seattle.
